Administrative & Financial Assistant
 
 
Job responsibilities & duties:
  • Organizing meetings and managing databases
  • Booking transport and accommodation
  • Organizing company events or conferences
  • Ordering stationery and furniture
  • Dealing with correspondence, complaints and queries
  • Preparing letters, presentations and reports
  • Supervising and monitoring the work of administrative staff
  • Liaising with staff, suppliers and clients
  • Implementing and maintaining procedures/office administrative systems
  • Attending meetings with senior management
  • Maintain office equipment
  • Develops and maintains a detailed operation schedule which includes administrative tasks and all sites involved in the operation
  • Checks invoices, bills and other financial documents 
  • Prepares and updates financial monitoring reports, analyses and expenditures tables on programme budget implementation on regular basis
  • Be fully aware of existing financial and contractual procedures and guidelines and stay up-to-date on the latest developments and procedures
  • Initiate financial transactions related to the implementation of projects (commitments, payments)
  • Have experience on foreign European funded projects, implementation of the same and good achieved results.

Job requirements:

  • BSc/Ba in Business/Economics, Accounting, Finance or relevant field
  • +1 year working experience as an Accounting and/or Administrative Assistant 
  • Knowledge of basic bookkeeping procedures
  • Familiarity with finance regulations
  • Good math skills and the ability to spot numerical errors
  • Hands-on experience with MS Excel and accounting software 
  • Organization skills
  • Ability to handle sensitive, confidential information
 
Skills & Qualifications:
  • Knowledge of office administration, management and supervision, ability to maintain a high level of accuracy in preparing and entering information.
  • Minimum 1 year of experience in the field of administration
  • Excellent interpersonal skills, analytical and problem solving skills, decision making skills, attention to detail and high level of accuracy, very effective organizational skills.
  • Effective written communications skills
  • Computer skills including the: spreadsheet and word-processing programs, and e-mail at a highly proficient level and languages: fluent in English
  • Personal Attributes: honest and trustworthy, respectful, possess cultural awareness and sensitivity, flexible, demonstrate sound work ethics
  • Computer skills: Word, Excel, Power Point+
